Terms & Conditions

Bookings.

  • All bookings taken shall be at the discretion of the Cotswold Wedding Group.

  • We work on a first come first serve basis and your date will not be held without deposit and completion of the booking form.

  • Your booking and quote is only secure once the Cotswold Wedding Group is in receipt of the booking fee. Provisional bookings are not permitted.

  • Party numbers are final at the time of quote. Party numbers may be added at the discretion of the Cotswold Wedding Group and the quote will be adjusted. Any new arising payments required from adjusted services will be added to the final invoice.

  • Party numbers/services can not be removed once your final invoice has been issued, 8 weeks before your wedding/occasion date. Once your final invoice has been issued, party numbers/services may only be added at the discretion of the Cotswold Wedding Group as this will adjust timings.

  • A bridal hair and makeup trial/preview is required to be taken before the wedding day. Wedding day services can only take place with a completed trial. Exceptions to this would be if you have the agreement of the Cotswold Wedding Group to forgo a trial due to difficult or unusual circumstances.

  • The Cotswold Wedding Group is available to travel to you for trials and to the venue on your wedding date.

  • Trials are to be taken between 3 and 6 months before your wedding unless otherwise agreed by the Cotswold Wedding Group.

  • Trials should be booked as soon as possible once your booking is confirmed.

  • Weekends are reserved for weddings. Trials can only take place on a weekend under certain circumstances with the agreement of the Cotswold Wedding Group.

  • Between Christmas and New Year an additional day rate of £100 will be applied.

  • An assistant/second artist may be required in order to complete all services in a timely fashion on your wedding day. Assistants/second artists are subject to their availability. If in any case where an assistant has been agreed and the assistant becomes unavailable due to any reason such as illness/pregnancy for example, you will be made aware of the situation, what is achievable without the assistant will be discussed and services may need to be altered. The Cotswold Wedding Group will try to source another assistant, or you the client are welcome to book another supplier to work alongside the Cotswold Wedding Group. The Cotswold Wedding Group are not ultimately responsible for finding another assistant or supplier for the day.

    Travel.

  • Travel is included within the price for the day of your wedding if it is held within a 30 mile radius of Cheltenham.

  • Outside the 30 mile radius travel charges will apply and be added to your final invoice.

  • Travel is charged at a rate of 0.45p per mile each way.

  • Travel will be charged for trials regardless of distance. This also covers the cost of moving kit and time travelled.

  • You are welcome to avoid trial travel costs by visiting the artists home/studio address for your trial. Details will be given upon booking.

    Trials.

  • Trials have a set time of 2 hours for hair or makeup, and 3 hours for hair and makeup (bride only). Details of cost and extra time will be given if another member of the wedding party requests a trial. If the set time is exceeded this will incur an extra charge of £15 per 15 minutes (£60 per hour). This will be added to your final invoice.

Payment.

  • A deposit of £80 is required to secure your booking.

  • The booking deposit is non-refundable.

  • The booking deposit of £80 secures your date and is an approximation of value of administration and preparation time.

  • The person making the booking shall be responsible for the first and final payment unless other arrangements have been made with the written consent of the Cotswold Wedding Group.

  • There is a 14 day cooling off period at the time of booking. Cancellations in this period should be made in writing/emailed to the Cotswold Wedding Group.

  • First payments of £80/£160 (depending on service) are to be made 3 days in advance of your trial/preview by bank transfer. You will receive an invoice detailing your 1st payment 10 days before your trial/preview date.

  • Your final payment is to be paid 4 weeks before your wedding date/booking. You will receive an invoice detailing your services and final payment 8 weeks before your wedding date/booking.

  • All invoices are to be paid by the due date detailed on your invoice. Late payments may result in daily interest and compensation charges.

  • Failure to pay your final payment for wedding day services may result in your booking being cancelled along with interest and compensation charges payable on 100% of the final invoice.

  • Once your booking is confirmed you will receive a payment schedule for your reference.

  • All payment should be made to the Cotswold Wedding Group detailed on your invoice.

  • We do not accept cash payments.

Cancellations and postponements.

  • In the unfortunate event that you have to cancel your booking with the Cotswold Wedding Group, any monies paid will not be refunded.

  • Cancellations must be made in writing/emailed to the Cotswold Wedding Group.

  • Cancellations made more than 6 months before your wedding date will not incur any charges.

  • The following charges will apply to those cancelling within the 6 month period.

26 weeks/6 months = 30% of final payment

16 weeks/4 months = 50% of final payment

8 weeks/2 months = 100% of final payment

  • If you are to postpone your wedding, any monies paid including booking deposit will not be refunded but services and booking deposit will be transferred to your new wedding date at no extra cost for the first postponement. Any further postponements will incur a £10 admin fee. Multiple dates can only be secured with additional deposits. Postponed dates are subject to the availability of the Cotswold Wedding Group.

  • If your wedding is postponed and a new date arranged with the Cotswold Wedding Group all payment scheduling will be moved accordingly to be in line with your new date.

  • In the unlikely event that your artist is late (for example, due to accidents on roads/road closures/extreme weather conditions or flooding) over 1 hour to the agreed start time on the day of your wedding, 50% of your final payment will be refunded as compensation.

  • If your artist cannot arrive for any reason, we will try to arrange another artist to step in, (if this is a new third party supplier, you, the client will be fully responsible for making payment to your new supplier and 100% of your final payment will be refunded to you) however the Cotswold Wedding Group is not ultimately responsible for finding another artist/supplier.

    Please note these are worst case scenarios and all artists at the Cotswold Wedding Group will always do their very best to arrive on time for your special day.

  • The Cotswold Wedding Group reserves the right to cancel your booking or not continue with services due to unreasonable, rude, abusive or aggressive behaviour. In these circumstances no refund for any monies paid will be given and you be required to pay a penalty fee of up to 100% of your outstanding balance.

  • The Cotswold Wedding Group reserves the right to cancel your booking if there is a significant failure to respond to communications/correspondence. (For example, no longer replying to emails that require a response). There will be a fair warning in an email before a final email detailing the cancellation. In these circumstances no refund for any monies paid will be given and you be required to pay a penalty fee of up to 100% of your outstanding balance.

    Please note that this does not apply to those that occasionally forget to reply or are occasionally late with replying, we understand that life in general along with planning a wedding can get quite busy, so don’t panic!

  • The Cotswold Wedding Group reserves the right to cancel your booking for any situation deemed reasonable, if this is the case you will receive a full refund of any monies paid, unless the cancellation is a result of the client’s failure to pay, rude or abusive behaviour or failure to respond, the terms previously set out regarding these issues will apply.

Correspondence.

  • All Correspondence with the Cotswold Wedding Group will be either via email or written letter/text. Anything discussed by phone call will be emailed to you to confirm conversation.

  • It is the responsibility of the bride or person making the booking to inform the Cotswold Wedding Group of any allergies or skin sensitivities that yourself or the bridal party may have prior to the service. For your safety we advise you also inform your artist at the time of service.

  • The Cotswold Wedding Group cannot be held liable for any losses or damage that has incurred due to the client’s failure to disclose any information regarding known allergies or sensitivities, nor can they be held responsible for any unknown allergies or sensitivities that may arise.

  • If you or any member of the bridal party have any allergies or sensitivities and wish to proceed with services a trial is highly recommended, the client is responsible for themselves and the Cotswold Wedding Group cannot be held responsible for any allergies or sensitivities that occur. The Cotswold Wedding Group reserves the right to not carry out a service if deemed dangerous. (e.g., client with anaphylaxis reaction).

  • It is the responsibility of the bride to ensure all bridal party members are available on the wedding day and are at their pre-arranged time slot on the schedule. No refund or compensation will be offered for delays caused by other wedding vendors/suppliers, guests or members of the bridal party.

Photography.

  • Any photos or video taken by the Cotswold Wedding Group or supplied to the Cotswold Wedding Group by yourself, or other sources may be used within the Cotswold Wedding Group website, social media pages and for advertising purposes or for any other related business owned by Leanne Lishman.

  • Any photos or video taken by assistants/second artists working on behalf of the Costwold Wedding Group or supplied to them by yourself or other sources may be used within their own website, social media pages or advertising purposes.

  • No photos or videos of the bride, bridal party or any trial pictures will be shared/posted to any social media or website until after the ceremony to avoid ruining the surprise of your big day unless permission has been given.

  • Any objections should be made in writing to info@cotswoldweddinghair.com stating your name and wedding date.

GDPR.

  • The Cotswold Wedding Group take your privacy very seriously and are fully GDPR compliant. All information regarding how your information is stored, handled and the reasons why it is taken is available for you in the privacy policy. Acceptance of terms & conditions.

  • By securing your booking with the Cotswold Wedding Group by deposit you are creating a contract with the Cotswold Wedding Group and agree to the terms and conditions set out in this document.
